The IEP Guru, LLC Policies The IEP Guru, LLC is committed to providing professional, responsive, and individualized special education advocacy services. These policies are intended to help families understand general communication, scheduling, and billing practices. They are in addition to the terms outlined in the Advocacy Service Agreement. Communication The primary contact for The IEP Guru, LLC is Dr. Mary Jo Ray-Jewett. Because advocacy services are provided to multiple families and may include meetings, record review, research, and other scheduled client work, immediate availability cannot always be guaranteed. Email is the preferred method of communication. Please allow up to two business days for a response, although every effort is made to respond sooner when possible. Clients are encouraged to include their advocate on relevant school communications so the advocate can remain informed and provide appropriate support. Scheduling and Meetings Meetings, calls, and other advocacy services are scheduled in advance based on advocate availability. The IEP Guru provides both virtual and, when appropriate and available, in-person advocacy services. Availability for in-person meetings may vary based on location, scheduling, and advocate availability. Please provide at least 24 hours' notice when cancelling or rescheduling a scheduled call or meeting whenever possible. Billing Advocacy services are billed at $100 per hour in 15-minute increments. New clients are generally required to maintain a $750 advance retainer. The retainer is applied to advocacy services as they are provided and is not an additional fee. Clients will be notified when the retainer balance reaches approximately $150 and will receive an estimate of the amount needed to replenish the retainer based on anticipated services. Detailed invoices are generally issued on the first of each month for services provided during the previous month. Billable services may include, but are not limited to, record and document review, meeting preparation and attendance, parent meetings and calls, school communication, correspondence, research, drafting and reviewing documents, complaint preparation, and other advocacy work performed on behalf of the client. Some established clients may have different retainer arrangements as outlined in their individual Advocacy Service Agreement. Getting Started The IEP Guru offers a free 15-minute fit call for prospective clients. The purpose of the fit call is to briefly discuss the family's concerns, explain how The IEP Guru may be able to assist, and determine whether advocacy services are a good fit. The fit call is not intended to provide individualized advocacy advice, record review, or case strategy. Before advocacy services begin, new clients must complete the required onboarding documents and fund the applicable retainer. Required documents may include the Advocacy Service Agreement, New Client Intake, and School Communication & Records Authorization. Rush Requests Advocacy services are scheduled in advance to allow sufficient time for thoughtful preparation and review. The IEP Guru cannot guarantee availability for urgent or last-minute requests. When expedited work can be accommodated, any applicable terms or charges will be discussed with the client before the work is performed. Confidentiality Client communications and records are treated as confidential and are used for the purpose of providing advocacy services. Information, strategies, documents, or recommendations developed for one family may be specific to that student's individual circumstances and should not be assumed to apply to another student's situation. Time Off The IEP Guru, LLC is generally closed on federal and state holidays. Clients will be notified when additional closures or periods of limited availability may affect scheduled services. Questions About Billing or Services Clients who have questions about an invoice or services provided are encouraged to contact The IEP Guru promptly so the concern can be reviewed and addressed.
